Setting a Vacation message for your email with Roundcube Webmail
You can inform your email correspondents that you are away from your email by installing a so-called vacation message on the central mailserver.
If you manage your mail on the Exchange server (admin.vub.ac.be) you have to activate your out-of-office message on the Exchange server (see the Links below)
When a person sends you an email, once every 7 days the vacation message will be sent automatically back to your correspondent.
To activate an out-of-office in Roundcube
- log on onto Roundcube with your NetID and password
- click on Settings
in the top-right corner
- click on Out of Office/Forward
You are now in the Out of Office/Forward window where you can write and activate your Out of Office message. To activate it
- modify the subject and the message as you wish
- make sure the Send a notification
option is checked
If you have an email address Firstname.Lastname@vub.ac.be or Firstname.Lastname@ulb.ac.be, make sure to add Firstname.Lastname (without the @vub.ac.be or @ulb.ac.be!) into the Aliases
Then click on the Save
at the bottom to save your changes.
If you read your mail on the VUB/ULB server, do NOT deactivate the option "Keep original message on the VUB/ULB server" or you won't receive any of the messages your correspondents send you!
Changes to your vacation message, the subject and Aliases are ONLY saved if the Send a notification option is active (checked).
An additional note about accentuated characters
The program handling the auto-reply vacation messages has a problem with accentuated characters used by Roundcube. If you wish to use accentuated characters in your out of office replies (é, è, à, etc) you can use the old Webmail3 forward/vacation procedure. Alternatively, you can replace accentuated characters by their non-accentuated character.
