Email configuration for Outlook 2010/2007

You can use Outlook to receive and send email with your university's email address.

To manage your email with Outlook 2010/2007, you have to create an account in Outlook.

If you already have created a VUB or ULB account in your Outlook, you can simply view and change the parameters of your existing account.

Create a new account in Outlook 2010 (see further below for Outlook 2007)

- open the menu File and select Info
- click on Account Settings
- click on the Email tab
- click on New... to create an account

Next, near the the bottom left side of the window, select Manually configure server settings or additional server types and click Next.

Choose Internet Email and click on Next.

Skip to the section Configuration of the account below to continue the configuration of your account.


Create a new account in Outlook 2007

- open the menu Tools and select Account settings...
- click on the Email tab
- click on New... to create an account
- next choose the type of the account: Microsoft Exchange, POP, IMAP, or HTTP
- click on Next

Then, at the bottom left side of the window, select Manually configure server settings or additional server types and click Next.

Choose Internet Email and click on Next.

Continue the configuration of your account in the next section Configuration of the account.


Configuration of the account

Next you will have to fill in your account settings. Enter your name and email address and choose the type of account: POP or IMAP.
With POP you will manage your mail on your computer, with IMAP your messages will be stored on the server and you'll only have access when you're online; see the link below for more details.
Then specify the following parameters:

- Incoming mail server (POP3): pop.vub.ac.be or pop.ulb.ac.be
- Incoming mail server (IMAP): imap.vub.ac.be or imap.ulb.ac.be
- Outgoing mail server (SMTP): smtp.vub.ac.be or smtp.ulb.ac.be
- User name: loginname (NetID e.g. qpeeters)

You can leave the password empty at this time.

Next click on More Settings...

Click on the Outgoing Server tab and turn on the option

My outgoing server (SMTP) requires authentication

Next click the Advanced tab.

Then, for the Incoming server (POP or IMAP), turn on the option SSL as type of encrypted connection. The portnumber will automatically change to 995 for POP3 and 993 for IMAP.

Next, for the Outgoing server (SMTP), select TLS as type of encrypted connection and specify the portnumber 587 (instead of 25).
If you consult your mail with POP and consult your mail from different computers, you may wish to turn on the options "Leave a copy of messages on server" and "Remove from server after xx days" (xx < 30); see the link below for keeping your mailbox on the server to a reasonable size.

IMAP users can also, if they wish, click on the Folders or Sent Items tab. By selecting the second option (choose a folder where to store sent items they can save sent messages online on the server.
Beware: by saving the sent messages online on the server, you may increase the diskspace used by your mailbox more quickly.

Click the OK button to close the More options... window and click the Next button to continue.

Then click on Finish.

Your account is now created in Outlook 2007. You should be able to send and receive mail from anywhere on the Internet from within Outlook in a secure way.

Note

To modify an existing account in Outlook

- [Outlook 2010] open the menu File, choose Info and select Account settings
- [Outlook 2007] open the menu Tools and select Account settings...
- click on the Email tab
- select the account you wish to change...
-... and click on Change...

You can now make adjustments to the account settings and register them.
